How to make team knowledge easier to use with AI
A useful knowledge base starts with trusted, maintained sources. An AI answer needs both evidence and a sensible fallback.
What you will make: An organized source set and checked answers with clear ownership.
Choose the questions
Collect questions in the language people actually use. Group them by the work someone is trying to finish. Choose a small starting area where better answers would remove repeated confusion.
AI can help: Group questions by task and identify overlaps.
Your review: Choose a narrow starting area.
Curate the source material
Inventory the source documents with owner, authority, last review date and access restrictions. Resolve conflicts before asking AI to synthesize the material. A newer document is not automatically the authoritative one.
AI can help: Suggest duplicates and possible conflicts.
Your review: Choose the authoritative source and confirm access.
Draft source-linked answers
Ask for concise answers with links or source IDs. Keep answers close to their evidence and make missing information visible. Check account sharing settings before adding internal material to any external service.
AI can help: Draft answers with source references.
Your review: Check the cited passage and mark unanswered questions.
Test the awkward questions
Test both ordinary and awkward questions. Include an out-of-scope request and an answer that has changed. Decide when the system should say it cannot answer and whom the person should contact.
AI can help: Identify unsupported answers and unclear boundaries.
Your review: Decide when the system should refer someone to a person.
Maintain the knowledge
Assign review dates and an owner for every important topic. Automate reminders if useful, while keeping approval of changes with the owner. Retire stale content and rerun your small evaluation set after a source update.
AI can help: Help summarize changes for the content owner.
Your review: Approve edits and retire stale guidance.
