A good stack starts with less.
Choose tools around one job you need to finish. More connections mean more setup, more upkeep and more things to understand.
Define the job
Write down the input, expected output, owner and definition of done. “Use more AI” is not a task. “Turn five approved interviews into a traceable theme table” is.
Check fit before features
Ask whether the tool works with your actual host application and plan. Check whether it runs locally or remotely, how authentication works, and whether installation needs a developer. Do not assume every MCP client supports every feature.
Count the full cost
Include the underlying app, model usage, automation tasks, hosting, setup time and ongoing maintenance. Open-source code can still require paid APIs and operational work. Confirm current pricing with the provider.
Pilot before expanding
Try one routine with representative, permitted data. Record the result, time spent checking it and where you had to intervene. Keep the tool if the outcome justifies the total effort.
